attractive category, as we are part of the 1 trillion snacking and
refreshment industry, growing consistently at high pace. We have
strong brands equities: 5 of top 10 selling brands including Ben &
Jerry's, Breyers, Magnum, Talenti, Popsicle, Good Humor, Klondike,
and Yasso. We are investing to unlock the full growth potential of
Ice Cream as a standalone entity, once we separate from Unilever,
which is planned to happen by November 2025.In this role, you will
provide proactive and world-class support to the Chief Sales
Officer for the Ice Cream Division, while also managing the office
in Arkansas.KEY RESPONSIBILITIES:
- Full Support: Provide comprehensive support to the Chief Sales
Officer, including diary, travel, and meeting management across all
time zones, travel planning, expense processing, meeting agenda
management, visitor coordination, and internal/external event
management.
- Proactive Management: Prioritize meetings according to business
needs and urgency. Ensure the Chief Sales Officer is prepared and
has all materials needed for high-impact meetings at the proper
times.
- Communication & Collaboration: Communicate and collaborate
effectively with local and global teams to anticipate and solve
problems before they occur.
- Flexibility & Autonomy: Demonstrate a high degree of
flexibility, autonomy, self-confidence, and enthusiasm with strong
interpersonal skills. Accuracy and speed are essential.
- Travel Organization: Organize international and local travel,
including itineraries, visas, and out-of-office requirements.
Proactively inform participants to ensure smooth visits.
- Meeting & Workshop Organization: Arrange internal and external
meetings & workshops locally and abroad, including booking meeting
rooms, venue sourcing, agenda definition, evening/team activities,
logistics, and ensuring smooth technical setup (Microsoft Teams,
ZOOM, etc.).
- Confidential Meetings: Set up and manage highly confidential
external meetings and engagements.
- Stakeholder Management: Manage a global network of internal and
external stakeholders, serving as a point of reference for local
teams & external partners.
- Database Management: Maintain email distribution lists and
internal and external contacts databases.
- Purchase Orders: Raise, track, and close Purchase Orders when
needed, liaising with procurement & suppliers to ensure prompt
payment.
- Administrative Efficiency: Proactively tackle issues related to
administrative processes to ensure speed and efficiency.
- Office Management: Oversee office operations in Arkansas,
including ordering supplies, greeting visitors, stocking
breakrooms, and managing other office needs.
- Calendar Coordination: Coordinate and plan yearly calendars
considering geographical time differences and various priorities
across all brands. Manage central meeting invitations.
- Support for Senior Stakeholders: Liaise and respond to senior
stakeholders and other leadership team members for any
business-related requests, including meetings and supporting
material preparation.
- Logistical Support: Support the Chief Sales Officer with all
meeting plans and logistics, including travel and expenses. Plan
and manage the most optimized travel plan across all business
needs.
- Calendar Management: Own calendar management for the Chief
Sales Officer.
- T&E and Adhoc Requests: Assist CDLT members with travel and
expenses (T&E) and handle ad hoc requests.
- Additional Duties: Perform other administrative projects and
duties as assigned.WHAT YOU NEED TO SUCCEED:
- Proven experience and a track record of high performance as a
Personal Assistant, with experience working in a regional or global
organization across time zones.
- Excellent organizational skills, able to prioritize tasks of
high complexity, and build relationships with a complex network of
key stakeholders inside and outside the organization.
- Initiative to think proactively about how to support the Chief
Sales Officer and the leadership team to be as efficient as
possible in using their time.
- Flexibility, autonomy, self-confidence, and enthusiasm with
strong interpersonal skills. Accuracy and speed are essential.
- Trustworthiness, sensitivity, and discretion when exposed to
confidential information.
- Experience managing office processes and developing new
approaches to meet changing needs.
- Proficiency in Microsoft applications, including Outlook, Word,
Excel, and PowerPoint, and in Coupa for budget management. Ability
to quickly acquire new IT skills to utilize key company software
and systems.
- Comfort working both face-to-face in Arkansas and in a virtual
environment, building collaboration with people internally and
externally to Unilever.Pay: The pay range for this position is
$49,500 to $74,300. Unilever takes into consideration a wide range
of factors that are utilized in making compensation decisions
including, but not limited to, skill sets, experience and training,
licensure and certifications, qualifications and education, and
other business and organizational needs.Bonus: This position is
bonus eligible.Long-Term Incentive (LTI): This position is LTI
